Video Network Services - Multi-Media Presentation Services                                             
Overview

Meetings, training sessions, and announcements can be taped and blended with PowerPoint presentations, screen captures, and other files for a full multi-media experience. ITS Video Network Services offers its customers the services to create synchronized multi-media presentations that can be accessed over the World Wide Web from anywhere.  VNS uses the Accordent Capture Station™ and Presenter Plus™ to develop live and on-demand presentations.  

Currently several state agencies use the service to reach out statewide to remote users that are required to view the event.  Travel costs and travel time are significantly reduced by using an on-demand video presentation for distributing the content.

Video Network Services provides two types of presentation services, live and on-demand. 

Broadcasting live multi-media presentations is accomplished through the use of the Accordent Capture Station™.  This product facilitates real-time capturing and publishing and enables users to open their internet browsers to view a live presentation.

On-demand presentations are prerecorded, developed, and published to be available at any time for users to view over the internet.  The Presenter Plus™ application is used to create presentations.

It is important to consider which service is right for your application as cost varies based on services provided.

Cost

A cost estimate will be generated for each project upon request. The standard rates for VNS services are posted at the following location and :

Streaming Media Hosting is defined as the cost to store the presentation on the Video Network Services hosting site.  The price list is based on the monthly cost of hosting one Gigabit of content, or approximately five hrs of video presentation content.

Streaming Video (Webcasting) is defined as the cost of streaming a live presentation.  The price list is based on one hour of live streaming presentation.  Live streams can be archived for later viewing as an on-demand presentation.  Streaming Media Hosting rates apply if a live presentation is archived.

Encoding is defined as the process of taking raw video from video tapes and encoding or compressing the video for use in presentations.  The price list reflects the price of encoding one hour of raw video.

Event production costs are defined as the cost of using Video Network Services personnel to assist in the development and production of the project, event or presentation.  This includes video taping, assembling presentations using video, audio, and other content to create the complete multi-media presentation, creating CDs, modifications, changes, and testing.



Guidelines for preparing your video and PowerPoint presentation for on-demand access over the web.

These are the recommended guidelines for preparing your video and PowerPoint Presentations. Following the guidelines will help save event production time and money.  This covers on-demand presentations that will be accessed over the web.  Live presentations are not covered in this guide.

Getting Started

To minimize event production time and cost we have established best practices that expedite the development process and reduce the cost associated with modifications and changes after the presentation is complete.  The customer can plan and prepare prior to delivering the content to Video Network Services for development.

Planning and scripting your presentation.  Questions:

1.    How long will the presentation be?
2.    Will you want the end user to see video and hear audio?
3.    Will you need a synchronized PowerPoint imbedded in the presentation?
4.    Will you need to capture PC screens and mouse movements during the presentation?
5.    Will your audience be a mixture of low speed and high speed data links to access the content?
6.    Will your audience want to use Windows Media player or Real player.
7.    Do you have the ability to record the speaker with a video recording device?
8.    Would you like Video Network Services to provide recording services?
9.    How many PowerPoint slides will be used during the presentation?
10.    Do you want to customize the experience with your department or division logo?

Preparing your video and PowerPoint presentation. 

1.    Script your entire presentation prior to recording.
2.    Complete a dry run or practice session prior to recording.
3.    Title all PowerPoint slides.  The titles will be used to create bookmarks to specific points in the presentation.
4.    Proofread all PowerPoint slides.
5.    Record the speaker’s presentation using video and/or audio recording devices.
6.    Review the video and PowerPoint presentation.
7.    Determine where in the video timeline the slide transitions should occur.
8.    Ensure that slide transitions are included in your script.
9.    Download the VNS form to request services located at http://www.ncih.net/vns01.doc
10.    Review the Service Level Agreement located here

11.    Submit the completed VNS-01 form with your materials.
12.    Deliver the script, video, and PowerPoint presentation and all pictures to Video Network Services. This may be coordinated by contacting any VNS Staff, member.
13.    Discuss the plan with Video Network Services personnel based on the answers to the above planning questions.

Video Network Services can accept VHS tapes, MiniDV tapes, Betacam tapes, and DVDs.
Video recording can be accomplished by Video Network Services at the Event Production rate.

In addition to PowerPoint slides, the presentation can contain images, URLS, screen captures, and most any type of file.

Upon completion of the presentation, Video Network Services can host the presentation on ITS servers at the applicable monthly rate and will provide the link that can be distributed to on-demand users wishing to view the presentation.

An auto-run master copy CD can be created for mailing and distribution to remote users and others who may not have online access.
